The “Custom Format” option can be made available by your Service Team to allow non-standard payroll import options. This import page is very similar to the other “External Import” option, but includes a few extra features.
Accessing the Custom Format:
On the “Import” step of the payroll process, you can begin the custom import process by selecting the “Custom Format’ link under External Import.
Select Your Import Format:
On the next page, you will be prompted to select the Import Template to use. These templates can be established by your Service Team. After selecting the template, use “Choose File” to select the import file from your device and then select “Preview’ to continue.
After uploading the file, you will be given a snapshot of the import file. After reviewing to ensure it’s in the expected format, select “Import” to proceed
On the final step, you will be provided with a summary of the “Total Hours” and “Total Deduction” amounts that were imported. Note that “Total Hours” includes flat-dollar earning amounts as well, which is how it returns in the other “External Import’ option as well. Below the totals will be a listing of the total amounts imported for each unique earning and deduction code.
Finally, a list of exceptions will be listed for any employees or codes that failed to load due to 1) an invalid unique identifier (e.g. Employee Number, SSN or Spokeware ID) or 2) an invalid earning or deduction code value. These can be corrected on the page by updating either the “Match Key” or “Code” values. Once these corrections are made, you can select “Import Exceptions” to apply the corrections.
As the final step, select “Finish” to process the import into payroll. You will then be re-directed to the next step of the payroll process.
*Note: Outstanding exceptions can be accessed and corrected at anytime on the “Custom Format” page by navigating to the “Exceptions” tab.
