The Termination wizard will guide you through termination in multiple steps. Below is a guide for each possible step in the process.
Note that the Assets, TAFW Payout, and Custom Attributes steps will not be included by default. If you're interested in incorporating these steps into the process, please refer to the Setup Guide for details on how to create custom templates:
To begin the termination process, navigate to "Status Changes" under an employee's "Career Profile" page. Select the "Add" button and choose "Termination" as the action type to begin the process.
Select A Template:
If there is more than one termination template available, you will be prompted to select which template to use in the first step.
*Note: Templates can be added or edited on the Setup page.
On this step, you can choose the reason for the termination, as well as reporting eligibility for being re-hired and unemployment claims.
*Note: You can create or modify termination reasons on the Setup page.
Enter all of the relevant termination dates on this step. Note that the "Last Check Date" determines the last date in which all recurring earnings will automatically pull through on the payroll. If this is a voluntary termination, you may choose to upload a supporting document.
You can choose to create a Severance Payroll To Do on this step. Select the target payroll (must be on or before the employee's "Last Check Date"), the associated earning and the amount to be paid out. The Payroll To Do must then be acknowledged on the "To Do" step of the payroll process.
Reports To Reassignment:
This step will only display if an employee has employees currently reporting to them. In that case, this step can be used to re-assign reporting employees to new managers. Select the edit pencil icon to assign new managers. You may also update all reporting employees to the same new manager by selecting "Yes" next to "Assign all employees to the same manager?"
*Note: Employees will be re-assigned immediately after the termination is processed. If the re-assignment should take place later, the step can be skipped and employees can be re-assigned via their individual "Position Detail" pages.
Custom Attributes (Optional):
If the employee has any "Custom Attributes" that need to be reviewed during the termination process, this step can be included in a custom template.
TAFW Payout (Optional):
This step can be included in a custom template if employees would need to be paid out for TAFW hours during the termination process. The balance will display on this page, along with a calculator tool to estimate the potential payout amount. Enter the number of hours to pay out under "Hours," select the payroll (must be on or before the employee's "Last Check Date"), and the associated earning. This will create a Payroll To Do that would then need to be acknowledged on the "To Do" step of the payroll process.
If assets would need to collected during the termination process, this step could be included through a custom termination template. Select the edit pencil icon to enter the details.
Select "Finish" when all of the information has entered and you will be re-directed back to the employee's "Status Changes" page. Details about the termination can be reviewed by selecting the view button in the table.
